RESERVATIONS:   All reservations must be paid in full upon booking.  Rental rates will include rate quoted, local & state taxes (13%), and additional fees (i.e., Housekeeping, fees, Pet Fees, Early arrivals, or Late Departures, etc.). All reservations will require a signed rental agreement, a valid credit card plus a current driver’s license for identification purposes.  A personal check will be accepted for any of these charges if presented to the company on or before forty-five (45) days prior to the arrival date.

CREDIT CARD PAYMENTS:   When a credit card is used for payment, the bank/credit card charges will be non-refundable.  This processing fee will also apply for any refunds.

CHANGES: If you must make changes, there will be a $40.00 processing fee.

MINIMUM STAY:  Rental rates are based on a 2 night minimum stay.  Longer minimum stays may be required during the summer season or holiday periods.

CANCELLATIONS:  Reservations cancelled 45 days or more prior to arrival date will result in forfeiture of 50% of the total rental fee; 31-44 days prior to the arrival will result in forfeiture of  75%; 1-30 days prior to arrival will result in forfeiture of the full amount.

Tropical Texas Vacation Rentals regrets that it is unable to waive any of the cancellation charges above, whatever the circumstances may be. THE COMPANY RECOMMENDS that all guests take out adequate cancellation or vacation insurance either through their insurance agent or travel agent.

SECURITY/DAMAGE DEPOSIT:  All confirmed reservations will require a security/ damage deposit ranging from $600-$1500.  Deposits will only be accepted in CASH.  Tropical Texas Vacation Rentals will return security deposits within 30 business days after scheduled departure date.  NO CHECKS ACCEPTED. There will be no refunds if these conditions are broken, no matter the circumstances. If damages exceed your security deposit, the guest will be liable for any charges in excess of the security deposit.  There are to be no parties, weddings, etc. allowed without prior written consent.  The Company or it representatives may enter the Property at any time, without notice, for the purpose of protection and/or maintenance of the property.  Wherever possible, the Company will provide plenty of notice to the guest prior to such entrance.

CHECK-IN:  You may check-in after 3:00 pm, at 2600 Padre Blvd., Suite B.  The office is open from 9:00 am – 6:00 pm, 7 days a week.  If you will be arriving after normal business hours, contact our office to make special arrangements with one of our representatives.  There is a $40.00 charge for early arrivals during peak seasons.  In rare instances during peak seasons, some units may not be ready by 3:00 pm.  We will make every effort to have your unit available as quickly as possible; your patience is greatly appreciated.

CHECK-OUT:  Check-out time is 11:00 am.  All keys and garage door openers must be returned to our office.  Late check-outs may be available for an additional charge of $50.00.  Please contact our office to check availability and make the necessary arrangements.  The agency will not be responsible for items left or lost in the unit after check-out.  Items remaining may be returned to the guest at their expense or disposed of, at the discretion of Texas Tropical Vacation Rentals.

KEYS:  Guest will receive 2 sets of keys per property.  Some properties may include garage door openers.  There is a $50.00 charge for any keys or garage door openers not returned to the rental agency at the time of departure. 

GUESTS:  Your reservation is confirmed for the number of guests listed.  Your reservation is subject to immediate eviction or additional charge if you have more guests than the property allows.  The registered guest must ensure that children are supervised at all times.   It is the policy of the company that all children under the age of 18 years are not left in rental accommodations unsupervised during the rental period.  The registered guest will be responsible for the actions of any family or guests you permit into the property.

PARKING:  Parking will vary for different properties through out the Island.  The normal parking allowance per unit is 1 vehicle in condominium areas, though some complexes may allow 2 vehicles.  Trailers, campers, or motor homes are not permitted in any of our properties.

SMOKING:  All of our properties are designated as NON-SMOKING!  However, if you do have a guest that must smoke, please do so in the patio areas.  If the smell of smoke is detected upon inspection, this will cause a forfeiture of the damage deposit.

TELEPHONES:  Most properties will have access to local phone service only.  Long distance will require a calling card or making collect calls.

PETS:  Not all properties will accept pets.  Please clarify the pet policy for your unit with one of our representatives prior to confirming your reservation.  Reservations in units which allow pets will require am additional deposit of $300.00, which will be included in your rental agreement.  Guests who have a pet without paying the pet deposit will face immediate eviction and will forfeit their security/damage deposit.

LOST OR STOLEN:  The Company does not accept liability for lost or stolen personal belongings of the guest from the property during their rental period.  In the event that items of the guest are lost or stolen, the guest is advised to notify the appropriate law enforcement agency of the lost or stolen items. 

EXCESSIVE CLEANING:  If the property is left unusually dirty after departure, an excessive cleaning fee will be deducted from the security deposit.  The additional fee will be charged at the rate of $30.00 per hour.

FURNISHINGS:  Most homes are used frequently by their individual owners.  They are, therefore, “fully equipped” to each individual owners taste.  Often the owner will leave personal items in a locked closet.  We ask that you respect their personal space.  LINENS & COOKING UTENSILS are provided in all our properties.  Properties are stocked with only a start up supply of paper products, soaps and bath towels.  Guests will be responsible for providing paper products and soap supplies for the remainder of their stay. 

TOWELS:  Towels provided in the properties are not to be used as beach towels or for cleaning up messes.  Guest must provide there own beach towels.

SUBSTITUTIONS: Sometimes acts of nature and other forces beyond our control prevent a property from being available as reserved.  Therefore, we reserve the right to substitute a property that we consider equivalent or better for the property reserved.

DEFICIENCIES:  All properties are carefully inspected by our staff prior to your arrival; however deficiencies can still occur.  Should you have a problem, please report it to our office as soon as it is discovered, any time night or day.  If we are closed, our answering service will get in touch with us.  We will make every effort to correct the problem in a timely manner.  However, deficiencies such as appliances problems or other malfunctions, cleaning problems, or utility problems do not justify a refund.

I HAVE READ, understand, and agree to abide by these terms.  I understand that violating these rules may result in eviction with no refund.   I understand the cost of extraordinary cleaning, excessive garbage removal, missing items, and damages may be deducted from my damage deposit or charged to my credit card and hereby authorize Tropical Texas Vacation Rentals to bill by credit card up to $300 for such charges ($500 where pets are involved).  I understand that my rental expires at 11:00 am and I will check out, remove all my possessions and vacate the premises prior to that time unless specific permission is obtained from Tropical Texas Vacation Rentals.  I understand that if I leave early for any reason or am evicted, I am NOT entitled to a refund.
